Client Terms & Conditions
Clients will be sent a copy of our counselling agreement to read and sign before starting work together. Below is a summary of this document.
Please read and ensure you understand and agree to all the points in this document, as they form an important part of our working relationship. If you have any questions or concerns, please speak with me before signing this agreement or paying for your first session.
1. About the Therapist
I, William Smith, am an accredited member of the British Association for Counselling and Psychotherapy (BACP),
registration number 375157. I adhere to the BACP’s Ethical Framework, which you can find at:

2. Eligibility and Therapy Process
To be eligible for therapy with me, you must:
- Be 18 years or older.
- Be physically located outside the USA and Canada during our sessions.
- Not be currently seeing another mental health professional (unless we’ve discussed this).
- Not be in immediate need of crisis intervention.
- Be registered with a general practitioner (GP) where you live.
- Be willing to provide your GP and emergency contact details.
Therapy can be both challenging and rewarding. It often involves discussing sensitive topics and confronting difficult
emotions. While many find therapy beneficial, there’s no guarantee of specific outcomes. Your active engagement is
crucial to the process. It’s normal to sometimes feel worse before feeling better, as you work through issues. Consistent
attendance supports your progress and helps build momentum in your therapeutic journey.
Throughout our work together, please remember that you can:
- End therapy at any time.
- Ask questions about the process.
- Refuse any suggested interventions.
If you decide to end therapy, I encourage discussing this for proper closure.
3. Confidentiality and Privacy
I maintain strict confidentiality with the following exceptions:
- Legal requirements (e.g., terrorism, drug trafficking, child abuse).
- Immediate risk of harm to you or others, which may require contacting your GP, emergency contact, relevant
- authorities, or emergency services.
- Clinical supervision and professional training (using anonymised, non-identifying details).
- Complaints against me, which may involve sharing relevant details with professional bodies, my insurer, and
- legal representatives.
- Notifying your GP if you suddenly end therapy without contact.

4. Sessions and Scheduling
Sessions are 50 minutes long, held weekly at an agreed time. If you’re late, the session will still end at the scheduled
time. If I’m late, I’ll attempt to extend the session, or add time to a future session.
5. Online Therapy Specifics
We’ll use Zoom for sessions. Please be aware of potential confidentiality risks in digital communications. Ensure
privacy during sessions by using headphones and finding a quiet, private space. Please turn off notifications on all your
devices during sessions.
If Zoom fails, restart your device. If issues persist, contact me via WhatsApp, Signal or email for alternative options.
Recording of sessions is prohibited without prior written consent from both parties.
6. Fees and Cancellations
Fees and Payments
- Fees are listed at https://www.therapyhub.eu/fees/ and your specific fee will be agreed upon in writing before
starting. - Fees payable in GBP or EUR via bank transfer, weekly or monthly. For weekly payments, payment is due
before each session; for monthly payments, at the start of the month. - If you experience difficulty with payment, we will need to pause our work until the situation is resolved.
- Fees increase by £5 (or euro equivalent) annually on 1st January. For new or returning clients starting on or
after 1st August, the first increase applies from the following January, and then annually thereafter. - Returning clients are subject to current fee structure.
Cancellations
- Please provide at least 72 hours’ notice for cancellations or rescheduling.
- Late cancellations (less than 72 hours’ notice) incur full session fee, including for illness or emergencies.
- If running late, please contact me. I’ll wait if notified, but if you haven’t joined or contacted me within 10 minutes of the start time, it’s considered a late cancellation.
Refunds and Credits
- Prepaid sessions that are cancelled with adequate notice will be credited to your next session(s).
- If I need to cancel a session, you may request a refund or credit for your next session.
- Refunds are not provided for sessions you cancel; credits are non-transferable.
- Credits expire six months after the date of the original payment. Any unused credit will be forfeited at this time
7. Communication, Safety, and Continuity of Care
- Primary communication is during sessions.
- Please use email, WhatsApp or Signal for administrative matters only, such as scheduling.
- In an emergency (risk of harm, severe mental health crisis, or any life-threatening situation), do not contact me.
- Instead, contact your GP, local crisis line, or emergency services.
- For non-urgent extra support between sessions, we can discuss scheduling an additional weekly session.
If I’m unavailable due to illness or emergency, I’ll notify you as soon as possible. In case of my serious illness or death, I
have appointed a trusted colleague (a BACP accredited therapist) to contact you about continued care options.
8. Duration and Ending Therapy
Therapy is a collaborative process; its duration varies based on individual needs and goals. When it comes to ending
therapy:
- You can end therapy at any time, for any reason.
- Ideally, we would have 2-3 closing sessions to review your progress, discuss any ongoing concerns, and ensure
a proper finish to our therapeutic relationship. - If circumstances require you to end therapy suddenly, please refer to the Cancellations section for notice
requirements. - If I believe I can no longer meet your needs effectively, I will discuss this with you and provide appropriate
referrals.
